DEFENSE PROCEDURE

Thesis on articles : make the request beforehand to the director of the ED by a letter co-signed by you and your supervisor.

To protect yourself from any copyright problem, if the journals in which you have published are not in “open access” version, we advise you to include the Word manuscripts of these papers in your thesis manuscript, rather than the pdf of the items.

Language of the theisis : French is the official language of writing and defense. For an essay and/or defense in another language, a written request (signed by the doctoral student and thesis supervisor) must be made in advance to the ED. When permission to write in a foreign language is granted, the manuscript must contain a substantial summary in French (at least 20 pages).  This does not apply for theses under joint supervision because the language of writing and defense is provided for in the agreement.

COMPOSITION OF  THE JURY (pdf)

The doctoral student fills in the composition of his jury on ADUM: Thesis director, examiners, rapporteurs, guest.

Its director then validates the composition on ADUM and then the ED validates in turn.

The ED asks the doctoral student for the following “documents before defense:

  • Individual Skills Book (doc) 
  • The summary of the training courses followed (on adum)
  • At least one accepted publication, where the doctoral student appears as 1st author

The reviewers must receive the manuscript two months before the defense.

To save time, the doctoral student can send his paper manuscript directly to the reviewers who will receive it at the same time via ADUM by the BED once the documents (mentioned above) have been transmitted.

The Director of ED ES reserves the right not to sign proposals for the appointment of rapporteurs when the filing date does not allow the pre-rapporteurs to work under good conditions and to submit their report one month before the defense.

The reviewers must receive the manuscript two months before the defence. To save time, the doctoral student can send his paper manuscript directly to the reviewers who will receive it at the same time via ADUM by the BED once the documents (mentioned above) have been sent.

  • After consulting the director of the ED, the rapporteurs are then appointed by the president of the university.
  • Their signed report must be submitted on ADUM by the rapporteur, at least one month before the scheduled defense date. He is received simultaneously by the doctoral student, his supervision team, the ED.
  • Each report will be approved by the director of the ED, who forwards it to the university.
  • If they are favorable, the president of the UBFC will give his authorization to the defense, will convene the jury for the defense.

PLEASE NOTE : Reports must reach the Doctoral School one month before the defense date. However, if the reports have not reached the Office of Doctoral Studies no later than 15 days before the date of the defence, the Director of the Research Department, after having informed the Deputy Vice-President for Research, will notify the Thesis Director, the Doctoral School and the doctoral student of the postponement of the defence.

–          A president is appointed from among the members of the jury

–          The president of the jury must be of rank A (professor, university professor – hospital practitioner, research director – according to the decree of June 15, 1992 fixing the list of civil servants assimilated to university professors).

The following cannot be President of a jury : the thesis director, the thesis co-director, an HDR lecturer or an HDR research fellow ;

–          With the exception of its president, the members of the jury may participate in the defense by means of videoconferencing or electronic communication allowing their identification and their effective participation in a collegial deliberation and satisfying technical characteristics guaranteeing continuous and simultaneous transmission. debates. In this configuration, the president and the doctoral student must be in the same room. The members of the jury in videoconference must sign a delegation of signature (see “special cases” at the bottom of the page)

–         in the event that one or more members of the jury are unable to participate in the defence, the composition of the remaining jury (at least 4) must meet the requirements described above, namely at least 50% of external members and 50% A-rank or equivalent members ;

–          The thesis director participates in the jury but does not take part in the final decision.

The thesis director must bring the forms essential to the smooth running of the defense. The originals of the minutes and of the defense report in its entirety must be sent to the Doctoral School no later than 15 days after the defense. In the event that one or more members of the jury participate in the defense by videoconference, the president of the jury must have previously received all the delegations of signature of the members of the jury by videoconference, so that the minutes are actually signed by all members – link to videoconference.

Defense report – to be retrieved from ADUM personal space :

–      be written by the president of the jury ;

–      include the jury’s assessments ;

–      Be countersigned by all the members of the jury including the thesis director.

The Defense report – to be retrieved from your ADUM personal space – must be completed in its entirety and clearly show :

–     the title of the thesis, which must be identical on all documents (designation of rapporteurs, dissertation and defense report);

– the name of the president of the jury;

– the surnames, first names and exact grades of all the members of the jury, including the thesis director;

– the signatures of all members of the jury present, with the exception of the thesis supervisor;

– the opinion of the jury on the reproduction of the thesis;

– admission or deferment l’ajournement.

a) The doctor files within 3 months on ADUM :

  • Final manuscript 
  • Defended thesis form as well as a paper copy of the manuscript at the Doctoral School (corrections made if requested by the jury) – even for a confidential thesis. 

b) The doctoral student submits a paper copy (bound – spiral or heat-sealed) of his corrected and final manuscript of his thesis.

To obtain a diploma, the 4 previous steps must be completed.

The manuscript : Attention : Please note: it is important that you use the model UBFC cover page and that you indicate there, following the defense, which member of the jury has been appointed as president of the jury.

It takes between 3 and 6 months after the submission of the manuscript and the thesis defended form at the Doctoral School to obtain it from the Office of Doctoral Studies (on site or by registered mail on request).

Europeen doctorate label

 

Definition

In order to encourage the mobility of doctoral students, the UBFC Doctoral Mission has set up the “European Doctorate” label.

The label is requested before the defense of the thesis and is reserved for students from the 28 countries of the European Union, extended to the other free trade states (Switzerland, Iceland, Norway, Liechtenstein). This is a qualification that should not be confused with the procedure for conducting a thesis in joint supervision, but to which it can be added.

The “European Doctorate” consists of a certificate added to the traditional doctoral degree, issued by UBFC and signed by its president. 

This label is issued when the student has met the following four criteria: 

1. Prior to the defence, the work will be examined by two fellow rapporteurs, authorized to supervise research, belonging to two establishments other than the one in which the thesis must be defended, including at least one non-French European. The reports must clearly mention that the research work can be the subject of a doctorate and reach the doctoral school four weeks before the defense. 

2. The composition of the jury will be defined by the texts with at least one member of the jury belonging to a higher education establishment of a European State other than that in which the doctorate is defended. 

3. At least part of the defense must be carried out in a national European language other than the national language of the country where the doctorate is defended. 

4. The doctoral student must have completed a research stay of at least three months in a member country of the European Unionenne.

1) Defense by videoconference

(delegation form signature word format) .

Reminder: with the exception of its president, the members of the jury may participate in the defense by means of videoconferencing or electronic communication allowing their identification and their effective participation in a collegial deliberation and satisfying technical characteristics guaranteeing the continuous transmission and simultaneous debates. In this configuration, the president and the doctoral student must be in the same room.

2)

Absent member of the jury not counted  : In the event that the absence was not anticipated and if this absence is not justified, the member of the jury will not be taken into account. The composition of the remaining jury (at least 4) must meet the requirements described above, namely at least 50% external members and 50% rank A members or assimilated.

Absent member of the jury who can nevertheless participate in the jury : The jury must remain in accordance with the regulations (at least half A ranks according to the decree of June 15, 1992 and half outside UBFC). The thesis director must inform the ED of the absence of a member of the jury as soon as he becomes aware of it to allow the following procedure to be put in place:- the member of the jury concerned must send a report (if he was rapporteur, his preliminary report is sufficient) and a list of questions he would have asked the candidate if he had been present ;
– the thesis supervisor has the form  «APPENDIX TO THE DOCTORATE DEFENSE REPORT – ABSENT JURY MEMBER CERTIFICATE», which must be signed by himself and the president of the jury at the end of the defense ;
– the report and the questions will be read during the defense by the president of the jury
– the certificate and the list of questions must be appended to the defense report.

External personalities invited to the defense must not appear on the documents, nor sign the reports.   

3) In camera defense (confidential thesis)

Exceptionally, the defense may be held behind closed doors for reasons of confidentiality. In this case, the thesis director must complete and send to the ED the closed-door defense authorization request form – generated from ADUM, for the opinion of the director of the ED and the decision of the president of UBFC.

The doctoral student must have the confidentiality agreements filled out by the members participating in the defense :
